Sender Profile Rotation Explained

We’ve rolled out a major update that changes how leads are distributed between sender profiles when they enter an automation. This update gives you more flexibility and control over how leads are assigned and managed across your team.

What’s New?

Previously, GetSales distributed leads using a randomized but balanced system, assigning roughly equal numbers of leads to each sender profile and ensuring contacts are assigned to the sender they interacted with before. However, this approach lacked flexibility — especially when managing multiple campaigns or reassigning leads.

Now, you have four distinct options to control how leads are assigned when entering an automation. These new modes can be selected in your Segment settings.

Lead Distribution Modes Explained

1. Rotate to a New Sender Profile

Use this when you want leads to begin with a sender profile that has not engaged with them before. The engagement means the sender has sent an email/ message or a connection request, regardless of whether the interaction happened via GetSales or manually.

  • Ideal for avoiding duplicate outreach or repeated messaging.

  • GetSales checks all sender profiles and assigns the lead to one with no prior interaction.

  • Useful for fresh campaigns or when replacing a sender who previously contacted the lead.

❗ Note that if all senders have interacted with a contact, and you choose “Rotate to a New Sender Profile” option, the contact will fail in the automation, and will receive Failed status.

2. Prioritize Profiles with prior Engagement

This option assigns contacts with the sender profile that was last to engage with the lead.

  • Engagements include messages, connection requests, emails, etc.

  • Helps maintain continuity and context with the prospect.

  • Best used when continuing or following up on previous campaigns.

3. Fair Balance Rotation (Default Option)

This mode evenly distributes leads across available sender profiles, ensuring balance:

  • New sender profiles are prioritized until all senders have an equal number of leads.

  • Ideal for distributing workloads fairly within a team.

  • Works across all segments in an automation.

4. Random Rotation

Leads are distributed randomly between available sender profiles:

  • No attempt is made to balance or prioritize sender profiles.

  • Helpful for old automations when new senders and new contacts are added at the same moment to engage previously added senders.

Restarting Contacts with Sender Rotation

Alongside the new distribution settings, we’ve improved how you can restart contacts from top in automations:

  • The selected distribution model applies to contacts every time you restart them from top.

  • Every time you change the distribution model, it applies to new contacts added after, or the contacts restarted from top.

  • Change the sender rotation model every time you see that the previous model doesn’t fit the automation anymore.

How Restart Works

When restarting leads:

  • You can choose to reassign them to a new sender profile (coming soon).

  • The system will respect your selected distribution mode.

For example, if a sender profile is no longer available because one of your managers left, you can restart leads previously assigned to their sender profile with the “Rotate to a new sender profile” option to ensure they are reassigned cleanly.

When Restarting

1. Rotate to a New Sender Profile

Assigns leads to sender profiles that have never engaged with them.

You start a new campaign with known leads and want outreach to come from fresh sender profiles to avoid double-messaging.

You restart leads previously assigned to a sender who’s disconnected now — they are reassigned to a new sender with no history.

2. Prioritize Profiles with Prior Engagement

Assigns leads to the same sender who previously engaged with them.

You build a campaign to re-engage cold leads or continue follow-ups, and want all messages to continue from the original sender for context.

You restart cancelled or failed leads, and the system will continue from the same sender profile they interacted with before.

3. Fair Balance Rotation (Default)

Distributes leads evenly across all sender profiles. Prioritizes new senders until balanced.

You launch a new campaign and want newly imported leads to be distributed evenly across all sender profiles from the beginning.

You restart contacts in progress to rebalance sender workloads, ensuring all senders get a similar number of leads.

4. Random Rotation

Assigns leads randomly with no balancing or engagement logic.

You add new senders and contacts to an old automation, and want leads to be assigned without structure to prevent new senders from over-loading while giving contacts to old senders as well.

You restart contacts to trigger fully random re-distribution, ignoring previous sender history or workload balance. Some contacts may be assigned to the senders they interacted with previously.

Important Notes

  • The new rules only apply to new leads entering an automation or leads that are restarted.

  • Existing leads already assigned to senders will not be affected.

  • Make sure to review and update your Segment settings to take full advantage of the new logic.
