GetSales doesn't provide a leads database. To work with the system, you have to import leads first.

Lead can be a part of only one list. List can be changed. If the list is deleted - leads on the list would be deleted too. Leads can be assigned with multiple tags. You can create unlimited number of variables aka custom fields (https://amazing.getsales.io/settings/custom-fields/lead) and use it to marker your leads & personalise the outreach.

Leads can be added to multiple automations from multiple sender profiles at the same time. If a lead replies, then all automations for this lead would be paused automatically (even if an automation was created after the lead replied).

Leads can not enter the same automation twice (only if it was deleted from your CRM and imported back or was restarted inside the automation).

When you import from CSV, you only have a limited number of fields to be mapped. The other fields (available as CRM filters) are enriched automatically by GetSales. If you want to map more fields you'd have firstly create custom variables. Then during the CSV import setup you'd be able to map all relevant fields.

GetSales doesn't import your network contacts automatically. As of now you can use basic import search to scrape relevant contacts from your network from LinkedIn.

I import X leads, but just Y leads imported. Where is the rest?

There are two numbers under the Import Progress: saved & duplicates (you can click them and see the detailed lists). Saved - successfully imported, duplicates - already exist in your GetSales CRM or your Import source has duplicates. Duplicates are the most frequent reason for the "missing leads" problem. If you need them in that new list anyway you can toggle "move to list if saved", when setting up the import.

Sometimes you might mess the import (mix the mapped fields). You have two options in that case. First - update from CSV. But you can not change the value of the LinkedIn ID only add it if the field was empty. Second - delete leads and import them again.

How do I find duplicates?

There are two ways to find duplicates:

  • If the import was completed: on the Import page, click on the duplicates counter and check the list;

  • If you used the Move to list feature: in CRM, filter leads by the import list name + created date set to not today. This way you'll find the leads that are a part of the list but where created previously - in other words the required duplicates.

How the enrichment works?

GetSales enrichment logic. Once lead is uploaded to the system, GetSales checks if we have it in our internal database. If yes, we check the date of the last enrichment. If more than 3 month ago, or we don't have it in our database, the enrichment starts. Depending on the system workload and the enrichment queue, it takes from a few hours to a few days. Leads can be sent to the automation not enriched, they would wait on the segment level in waiting enrichment status, and once enriched would be entering the automation automatically & gradually. If leads' data is younger than 3 month, we will instantly enrich lead.

Why CSV import runs endlessly?

Most likely there is a problem with the decoding of the CSV and/ or unrecognized special symbols inside the ID fields (email or LinkedIn id). Once system faces an uncategorised problem it can't handle it and can't end the import.

What to do to fix the problem? Stop the import. Upload your CSV to google spreadsheets. Download it as a CSV. Import to GetSales again. The decoding problem will be resolved. If the problem happens again, probably you have some issues with the values of the ID fields. Please review the file and try to identify & fix the problem before importing again. If nothing helps, please contact support and share all the details, including the CSV file.

LinkedIn Import doesn't start?

The most common reasons:

  • You just connected the profiles, it's hasn't passed the initial one-time initialization process which on average takes a few hours;

  • You haven't connected the LinkedIn account to the sender OR it is disconnected OR logged out OR there is a server downtime OR there is a proxy downtime OR you imports limit is reached for today. In most of the cases the import will start automatically within 1 hour/ 1 day depending on the case. But in some cases you might need to solve the problem (e.g. connect account, re-login LinkedIn for the sender, update the proxy if you use your own proxy. Check the sender profile troubleshooting steps). If doesn't help - contact the support.

LinkedIn Import goes slowly and stuck?

The most common reasons:

  • The same reason as for LinkedIn Import doesn't start

  • Daily limit for linkedin search (Search Page Import Limit) is reached. Navigate to the sender profile/ linkedin tab and take a look at the Search Page Import Limit. This is the number of searches GetSales can do daily. One basic LinkedIn search page gives you 10 leads, one Sales Navigator search page gives you 25 leads. If you have 50 page limit and use basic search import, GetSales will not collect more than 500 leads a day. You can increase the limit if you want and need. If you make too many searches a day - LinkedIn can hold new searches for a day. Besides there is a daily/ monthly cap of LinkedIn searches you can bump into. Overall, if there is no technical reason on GetSales side, most likely the problem is on LinkedIn side.

  • One more reason for Sales Navigator import. If your subscription is overdue the import can stuck or start failing requests.

My Sales Navigator is not detected? Just bought Sales Navigator, but can't do an export from sales navigator/ just bought Sales Navigator

We automatically check the Sales Navigator every 4 hours. If we don't detect it here are the most frequent reasons:

  • You just bought it, and we haven't detected it yet

  • You just connected the account and we haven't done the initial one-time initialisation;

  • You have an overdue Sales Navigator subscription;

  • You have a few paid subscriptions and GetSales can not detect the right one. You'd have to contact support chose the subscription manually;

Why Linkedin import never ends?

The most frequent reasons:

  • You set up a recurring import which never ends;

  • Import progresses slowly;

  • Sender profile issues (sender disconnected OR logged out OR your proxy doesn't work, etc.)

If none of them and you see import is not ending - please, contact support.
