How to connect your email to GetSales system and troubleshooting the most common issues

Connecting your email inbox to GetSales unlocks the full power of email automation. Once connected, you can:

  • Send automated email sequences

  • Rotate multiple mailboxes

  • Set daily sending limits

  • Track performance (with a tracking domain)

  • Distribute leads safely across inboxes

This article provides a general overview of email connection options and related best practices. For detailed Gmail or Outlook instructions, please refer to their dedicated guides.

Email Connection Options

GetSales supports three connection types:

  1. Gmail (Google Workspace / OAuth)

  2. Outlook (Microsoft 365)

  3. Custom SMTP (any other provider)

Gmail Connection

We recommend connecting Gmail via Google Workspace OAuth (GetSales custom application) for better deliverability and security.

Outlook (Microsoft 365) requires enabling Authenticated SMTP before connecting.

If you are using a mailbox provider other than Gmail or Outlook, you can connect it via Custom SMTP.

We support nearly all email providers.

Step-by-Step: Connect a Custom SMTP Mailbox

Step 1 β€” Go to Sender Profiles

  1. Open Sender Profiles

  2. Navigate to the Email tab

  3. Click +Add new

  4. Select Custom SMTP

Step 2 β€” Enter Login Credentials

Enter:

  • Your full email address

  • Your mailbox password

Click Continue.

Step 3 β€” Automatic Provider Detection

GetSales maintains a database of 100+ email providers.

For most providers, we automatically fill:

  • SMTP server

  • SMTP port

  • IMAP server

  • IMAP port

If your provider is supported, the connection will complete automatically.

Step 4 β€” Manual SMTP & IMAP Setup (If Required)

If your provider is not in our database, you will be prompted to enter:

  • SMTP Host

  • SMTP Port

  • IMAP Host

  • IMAP Port

You can obtain these settings from your email provider’s documentation or support team.

Once entered correctly, your mailbox will connect successfully.

Mailbox Limit per Sender Profile

You can connect up to 20 email addresses to one Sender Profile.

This allows you to:

  • Scale outreach safely

  • Distribute sending volume

  • Protect domain reputation

  • Rotate mailboxes automatically

If you need more than 20 mailboxes, create an additional Sender Profile.

Mailbox Settings & Configuration

After connecting your inbox, configure the following settings:

Daily Sending Limit: Set how many emails this mailbox can send per day.

Delay Between Emails: Add delays to maintain natural sending behavior.

Sender Name: Customize the name recipients see.

BCC Address: Add a BCC email (e.g., HubSpot or another CRM) to log outgoing emails automatically.

Email Signature: Add your signature in mailbox settings.

Important: When building automations, insert the Sender Profile Signature variable into the email body. Otherwise, your signature will not be included in sent emails.

Custom Tracking Domain (Recommended)

A Custom Tracking Domain enables:

  • Email open tracking

  • Link click tracking

  • Unsubscribe links

It is required if you want to use:

{{ sender_unsubscribe_link }}

You can configure the tracking domain inside mailbox settings.

Multiple Mailboxes Rotation

When multiple mailboxes are connected (up to 20 per Sender Profile), GetSales distributes email tasks evenly between them.

Example:

  • 40 leads

  • 4 connected mailboxes

Each mailbox sends emails to 10 leads.

This protects sending reputation and ensures balanced load distribution.

If there was previous communication with a contact, the used mailbox will be selected.

Best Practice: Use Secondary Domains for Outreach

We recommend:

  • Keeping your main domain for support and internal communication

  • Using similar secondary domains for cold outreach

Example:

  • Main domain: company.com

  • Outreach domains: company.io, company.co, trycompany.com

If complaints or blocks occur, this protects your primary domain from reputation damage.

Test Before Launching Email Outreach

Before sending to a large list:

  1. Add yourself as a test lead

  2. Run the automation

  3. Verify:

    • Subject line

    • Personalization variables

    • Signature rendering

    • Tracking links

    • Unsubscribe link (if enabled)

Always test before launching large campaigns.

Final Checklist

  • Mailbox successfully connected (SMTP / OAuth)

  • Sending limits configured

  • Signature variable added

  • Tracking domain configured (recommended)

  • Test email delivered successfully
