I Added Seats / Upgraded My Plan but Still Can't Add New Senders — How to Fix It

Why you still can't add a sender (or see "It's time to upgrade!") after upgrading: seats are allocated per team. How to allocate them in Teams management, where to find the Change subscription button, and what to do if it's still blocked.

Overview

On all GetSales plans — Flex, Send, Enrich, and Scale — sender profile seats are distributed per team. The subscription owner controls how many sender profiles each team can use.

If you see the error "You've reached max profiles number. To create more update your plan", or a pop-up that says "It's time to upgrade!" (e.g. "Unlock higher limits…") when adding a new sender or LinkedIn/email account, it means your team's seat allocation has been reached — not necessarily that the entire subscription is out of seats.

⚠️ Upgrading your subscription or purchasing more seats does not automatically make them available to your team. After adding seats to your subscription, you always need to manually allocate them to the relevant team via Teams management. This is the most common reason users still can't add senders after upgrading.

Common example: a team's plan allows 9 seats and they're only using 7, but they still see "It's time to upgrade!" — because the team's allocated Sender Profiles Count is still set to 7. The fix is to raise the team's count, not to buy more seats.

There are two scenarios depending on whether the subscription still has unallocated seats.

Scenario 1: Free Seats Available in the Subscription

If the subscription still has unallocated sender profile seats, the subscription owner just needs to reassign them to the team that needs more.

  1. Go to User Settings → Teams management. Make this change in Teams management — not in "Billing & subscriptions." Editing the plan only under Billing will not raise the team's seat count, and this is the single most common mistake.

  2. Find the team that needs more seats, click the "…" (actions) menu → Change subscription (or Add subscription if the team doesn't have one yet).

  3. In the modal, select the subscription in the Subscription field. You'll see how many sender profiles are still available next to each subscription.

  4. In the Sender Profiles Count field, enter the new number of seats for this team.

  5. Click Continue with selected.

The team will immediately get access to the new number of sender profiles, and the "It's time to upgrade!" message will stop appearing.

Can't find the "Change subscription" button? In the Teams management table, the three-dots (…) actions button sits at the far right of the team's row and can be hidden behind a horizontal scroll bar. Scroll the table sideways (or widen your browser window) to reveal it. Many users think the option is missing when it's simply off-screen.

Scenario 2: No Free Seats Left in the Subscription

If all seats in the subscription are already allocated to teams, you'll need to add more seats to the subscription first, then distribute them.

Step 1: Add more seats to the subscription

  1. Go to Settings → Billing (or click Credits in the top-right corner).

  2. Find your subscription card and click Manage → Upgrade.

  3. Increase the number of Seats to the new total you need, then click Confirm.

  4. Paddle will charge the prorated difference for the additional seats.

Step 2: Allocate the new seats to teams

Once the subscription is updated, follow the steps in Scenario 1 to distribute the new seats to the teams that need them — again, via Teams management.

Still seeing the message after allocating?

  • Confirm the change was made in Teams management (not just Billing), and that the team's Sender Profiles Count now shows the higher number.

  • If the team already has a subscription applied, try removing it, refreshing the page, then re-selecting it.

  • Log out and back in to refresh the limit.

  • If you're not the subscription owner, the owner has to make this change — it can't be done from a member account.

Important Notes

  • The minimum number of sender profiles per team is 1.

  • Only the subscription owner can manage seat allocation and upgrade the subscription. If you're not the subscription owner, contact the person who manages billing for your organization.
